Position Overview
A private family office is seeking a high‑energy, polished, and hard‑working Administrative Assistant / Corporate Host/Hostess to support operations across both the Great Neck and Manhattan offices. This role ensures that office, dining, kitchen, and meeting spaces are maintained to the highest standard and fully prepared for daily business needs, family meetings, and corporate events. The ideal candidate is detail‑oriented, sociable, resourceful, and thrives in a fast‑paced, entrepreneurial environment.
Primary Responsibilities
Hospitality & Event Support
Pick up, deliver, and set up food, refreshments, and supplies for luncheons, dinners, meetings, parties, and special events
Assist with large family meetings and gatherings across both office locations
Coordinate meeting set‑ups, refreshments, lunch orders, and guest experience
Maintain a polished office environment, including flower arrangements
Clean dishes, linens, and event‑related items
Administrative Support
Manage calendars, schedule meetings, and coordinate appointments
Organize and maintain electronic and physical filing systems
Process invoices, expense reports, purchase requests, and administrative documentation
Maintain and update databases, contact lists, organizational charts, and company records
Coordinate deliveries, mail distribution, courier services, and package tracking
Support onboarding activities, employee events, and office functions
Maintain company store order forms, review submissions, and prepare payroll totals
Office Operations & Inventory
Oversee inventory, ordering, stocking, and organization of office, kitchen, and household supplies
Manage vendor relationships to ensure seamless daily operations
Maintain conference rooms, kitchens, and office facilities to a high standard
Partner with household managers and operational teams on schedules, projects, and communications
Assist with special projects, research, and event planning
Identify opportunities to improve administrative processes and operational efficiency
Ideal Experience & Personal Characteristics
Proficiency in Microsoft Office (Excel, PowerPoint, Word) and Outlook
Valid driver’s license (or willingness to obtain)
Comfortable interacting with all levels of management

Requirements
• Minimum 5 years’ experience in a similar role, 2–4 years of experience in the food & beverage industry or hospitality
• Fluent in English with strong communication skills
• Excellent, verifiable references
• Eligible to work in the U.S.
• Willing to undergo a comprehensive background check
